More Than a Menu: The Real Work Behind a Catered Event When most people think of catering, they picture a beautiful buffet or a plated meal arriving right on time, piping hot and perfectly styled. And that’s exactly how it should feel to the client— effortless, seamless, and stress-free . But behind that clean setup and delicious food? There’s a full-scale operation that starts days before the event and involves planning, precision, and a whole lot of people. At Carolima’s Lowcountry Cuisine , every catered event is a production. And we don’t say that lightly. Here’s a look at what really goes into pulling off a successful catered event—and why it’s so much more than just cooking. ๐ It All Starts with the Details Before we ever fire up a skillet, there’s a full checklist that has to come together: Final headcount Event timeline Menu selections and dietary needs Equipment logistics Staffing needs Travel and venue accessibility Each event is different, and we customize our approach accordingly. Whether we’re serving 40 guests or 400, the goal is the same: flavor, consistency, and hospitality at every step . ๐ง The Prep Starts Long Before the Party Once everything is confirmed, the real work begins. Prep day(s) might involve: Chopping dozens of pounds of vegetables Marinating meats Making sauces and dressings from scratch Prepping sides that require long, slow cooking times (hello, collards) Loading trucks with coolers, warmers, serving trays, utensils, décor, and more Depending on the event size, we may start prepping 24 to 48 hours in advance. There’s no room for shortcuts when it comes to quality . ๐ช It Takes a Full Team to Make It Happen Most events require a lot more than just a couple of cooks. Behind the scenes, there’s a coordinated team that works together to bring everything to life. Depending on the scale and needs of the event, our staff may include: Chef Managers to oversee the food from prep to service Sous Chefs supporting execution and ensuring consistency Kitchen Managers handling logistics, inventory, and timing Servers for buffet, plated, or passed service Banquet Managers managing flow and floor operations Event Managers as the main point of contact for clients Bartenders handling beverage service and bar setups Everyone has a role, and timing is key. From loading the truck to clearing the last plate, it’s a carefully choreographed operation—and it only works when everyone shows up ready to deliver. ๐ง Equipment Matters (And It’s a Lot) You’d be surprised how much equipment it takes to cater a single event—especially if the venue has no kitchen. We often bring: Chafing dishes and fuel Cambros (to keep food hot or cold during transport) Full sets of serving utensils and backup tools Table linens, disposable or plated service ware Trash bins, gloves, cleaning supplies Emergency kits with extras of everything—because something always comes up Our truck packs like a Tetris game, and everything has to be accounted for twice: before we leave and before we pack out. ๐ Execution Is Everything On event day, timing is tight. Food must be cooked to perfection and held at safe temperatures. We arrive early for setup and stay late to clean down, often working 8–12 hour shifts for one event. Behind every plate you enjoy, there’s someone making sure the green beans are still hot, the shrimp hasn’t overcooked, and the presentation is picture-perfect. It’s not glamorous—but it’s the kind of work that creates memorable moments. ๐ It’s a Lot—But It’s Always Worth It At Carolima’s, we take pride in every detail. From the food to the flow of your event, our goal is to make you feel like everything “just happened” to come together beautifully. And while it may seem effortless from the outside, we know what it takes —and we show up ready to deliver. So the next time you’re enjoying a perfectly timed buffet or a smooth dinner service, just know: It wasn’t magic. It was the team, the tools, and the process behind the plate. ๐ฃ Planning an Event?
